Problem Statement:

·        Long lines are always occurring during paying tuition fees.

            There is a continuous flow of students during enrollment, students in     different departments usually pay their tuition fees simultaneously that    creates long lines.

·        Computer/technical problems are arising during payment process

            During payment process, some computers are having some problems like     hanging due to continuous usage and emergence of unexpected virus.

·        Only few cashiers are open during payment process

            Only 2 cashiers are open during paying tuition fees, and at the same time,      there is a continuous flow of students that causes long lines.

·        Only few employees are assisting the students

            The employees that assist the students are only few, they cannot handle          the students properly that’s why it takes time for the students to pay their       tuition fees.

·        Cashier personnel are not properly trained.

            The department did not check the background of the employees and they       did not follow the standard of the school.

·        Lack of post or information on the procedure of the payment system.

            Information about the process of paying tuition fees is not visible          especially on the counter area.

II. Background

Far Eastern University (FEU) (PSE: FEU) in the City of Manila, West Sampaloc, University Belt area is a nonsectarian, private university in the Philippines. Created by the merger of Far Eastern College and the Institute of Accounts, Business and Finance, FEU became a university in 1934 under the guidance of first president Nicanor Reyes, Sr. It soon became the leading proprietary, for-profit university in the Philippines. FEU’s campus is noted for a number of historical buildings preserved from the first half of the 20th century.

Far Eastern University was founded in 1934 when the Far Eastern College and the Institute of Accounts, Business and Finance (IABF) merged.Far Eastern College, founded in 1919, had been a liberal arts college in Quiapo; the IABF had been established (originally under the name Institute of Accountancy) by Nicanor Reyes, Sr., head of the Department of Economics of the University of the Philippines, with a number of other prominent educators in 1928.

IABF had been originally predominately used by night students, and the new university, which was supported by the tuition provided by its students rather than government grants, soon demonstrated that a private university was financially sustainable in the Philippines. Though many small businesses think that having the latest and greatest in payment processing security technology will make the secure and compliant, this is not necessarily the case - especially if there is a high turnover rate for the employees that are trained in the technology, said one industry expert.

Students sometimes don’t complete the information on their payment slip, tendency, the payment process was delayed.

            Methods

There is a continuous flow of students during enrollment, students in different departments usually pay their tuition fees simultaneously that creates long lines.

V. Recommendation and Benefits

Beyond wages and motivational rewards, there are other ways to improve efficiency in the office.

  • Learn what your employees need on a regular basis and make it available to them. If many employees head down to the building’s cafeteria for a soft drink, why not put a vending machine right in your office? If employees leave their desk to use the office stapler, put a stapler on their desk.
  • Use a flowchart to track the workflow in your office. Are people touching papers or packages more than once? Is a document going through unnecessary steps? If it’s been a while since you reviewed your workflow, do it now because workflow can change and become inefficient quickly, even if you initially set it up to be very efficient.
  • Be flexible with shifts. If possible, don’t have everyone come in from 9-5 (or whatever your hours are). Offer employees other options, including flextime (minimum of 8 hours worked in a 15 hour window), split shifts, or even work-at-home arrangements. These options often end up saving you money!
  • Use time tracking, collaboration, and project management software to keep everyone “on task” and aware of what they’re doing and what they’ll need to do next.
  • Make people aware of the system and how they fit into it. Often, people under-perform when they don’t realize that others are relying on them. If they understand that they fit into a system like a gear in a clock, they’ll contribute more for the sake of the team.

·         During enrollment cashiers should accept /collect tuition fee discrepancies of less than 10.00 without asking the enrollees to go back to administration office first and have to fall in line again for his down payment.

·        Student assistants  should know their duties, no discrepancies and guide enrollees specially the new comers and freshmen.

·        Cashiers should open on time according to their regular office hours.  

  • Make a good office for the cashier and put some seats and aircon for convenience.
  • Assigning the proper cashier number for each institute. The students should only be allowed to pay in their respective institutes. 

VI. Implementation Plan

different administrators can have different levels of security authorization. For example, one may only enter new transactions, while another may have complete access to customer records, audit information etc.

each product or service can be associated with multiple attributes such as department, budget codes etc for tracking and reporting functionality.

allows you to use your organization logo, colors, slogan and much more to create the look and feel that matches your identity.

Payment Options:

accept & process debit/credit card payments with real-time authorization, e-check and PCI compliant and number encryption.

Connectivity:

easy import and export capabilities to other systems.

Communication:

create customized email confirmations.

ENTRANCE REQUIREMENTS AND TRAINING OF CASHIER



People in these jobs represent their employers when dealing with the public.
Because of this, poise, alertness, and tact along with a neat, well-groomed
appearance, and a nice personality are essential. Good communication skills,
accurate arithmetic, and honesty are also a must.

Some employers want job applicants who have experience with computer scanning
cash registers.  When hiring an Office Cashier, employers look for an
applicant with a general background of clerical skills, knowledge of
bookkeeping basics, and the ability to operate office machines.  Most
employers have on-the-job training programs in which Cashiers and Cashier-
Wrappers learn all about their work.  The best way to prepare for these
programs is to graduate from high school with classes in arithmetic, public
speaking, and English.  Applicants also need easy-to-read handwriting. 
Those who want to be Cashiers should also take courses in typing, office
machines, and bookkeeping.  Grocery Cashiers usually start as courtesy
clerks or clerk’s helpers who bag, clean-up and stock shelves.

A Cashier’s job duties and title depend upon the employer’s type of business
and the Cashier’s work station.  Office Cashiers usually work in department
stores, specialty shops, hotels, mortgage and loan companies, hospitals,
insurance companies, and government agencies that collect fees or make
payments.  .  Office Cashiers take cash, checks and other forms of payment from customers, meet the public and explain charges or billing policies, and answer routine questions and complaints.

ADVANCEMENT OF CASHIER

Since this job is found in a lot of industries, there are many kinds of
promotional opportunities.  A Cashier in private industry may promote to
senior Cashier, office Cashier, or supervisor.  Sometimes an experienced
Cashier with more education can become a bookkeeping or credit clerk.

 DUTIES AND RESPONSIBILITIES (Cashier’s Office):

·         Process students’ registrations, tuition and fee payments using a computerized cashiering system. 

·         Post payments to general ledger accounts and student account records. 

·         Reconcile daily transactions posted to computer system to the actual cash, checks, and credit cards. 

·         Identify discrepancies and correct. 

·         Maintain student account records, enter changes and issue periodic accounting reports. 

·         Disburse student loans and process financial aid transactions as directed by the financial aid office.

·         Sell and distribute campus parking permits, catalogs, and bus passes. 

·         Distribute payroll checks, financial aid checks, travel documents and advances. 

·         Reconcile monthly sales transactions of bus passes, parking permits, welding cards, and other inventory items on hand. 

·         Perform related duties as required.
